What the client expects
Contractor quotation format
A contractor quotation with your name, the client, line items, GST if you charge it, and payment terms. Fill the format and share the PDF.
A usable format is short enough to read on a phone and complete enough to approve. The client should see who is quoting, for which site, and how the total was built.

What is a contractor quotation format?
A usable format is short enough to read on a phone and complete enough to approve. The client should see who is quoting, for which site, and how the total was built.
It is a working layout for a client, not a PWD schedule, a tender, or a GST return.
What should the format include?
Your business name, city, and mobile. GSTIN if you have one. The client’s name and the site. A quotation number and date help when you send a revision. Then the lines: description, quantity, unit, rate, amount.
Under the lines, show the total, GST if it applies, advance, and balance. End with terms you will stand by: validity, what is excluded, and when you need the advance.
Formats contractors actually send
Item-wise lines
Description, quantity, unit, rate, and amount. This is the column set clients already know how to check.
Labour and material apart
Separate them when the client might supply one. A single “as per discussion” line is how disputes start.
Per square foot
Common for paint, tile, and making charges. Say whether you mean wall area, floor area, or shutter face.
Point rate
Common for electrical and some plumbing. Say whether wire, accessories, or sanitary ware sit inside the point.
Fixed scope
One total for a written scope. Put exclusions on the PDF, not only in a chat message. Thirty days is a common validity; shorter is reasonable for material you do not stock.
What the first page contains
| Your business and GSTIN | Header of the PDF | — |
| Client, site, date | So the revision is clear | — |
| Lines, GST, balance | The part they approve | — |
This is the shape of the document, not a price.
How to fill the format
1. Start in the browser
Put the client on a project first if you have more than one job, then add the estimate on that project.
2. Replace the sample rates
The numbers on this page are examples, not a price list. Type the quantity, unit, and rate you actually charge in your city. Add GST only if this job is taxed.
3. Preview the PDF, then send it
You can build the quotation without an account. Sign in with Google when you want the PDF, a WhatsApp file, or the job saved to your account.
Questions
Should labour and material be separate lines?
Yes when the client might supply one of them. A single “as per discussion” line is how disputes start.
How long should the quotation stay valid?
Write a date. Material rates move. Thirty days is common; shorter is reasonable for items you do not stock.
Can I reuse the format on the next job?
Start a new estimate and type the new quantities. Signed-in history keeps the last job so you are not rebuilding your business header each time.
