Call it an estimate while you are still pricing, and a quotation when you want approval. The columns can stay the same.

What should the estimate format include?

Square feet for paint and tile, numbers for points and fittings, sheets for plywood, running feet for a kitchen, days for a mason. Pick the unit you will defend when someone remeasures. The amount is quantity times rate.

Put exclusions under the table, not in a chat message. Validity, who supplies material, and what is outside the job belong on the same PDF. Do not mix square feet and square metres on one estimate unless each line says which.

Units to put on the format

  • Square feet

    Paint, plaster, and tile. Say wall area, floor area, or shutter face so two contractors are measuring the same thing.

  • Number / point

    Switches, fittings, and sanitary points. Say what sits inside one point.

  • Sheet

    Plywood and laminate. Name the thickness. The mill cuts sheets, not a vague “wardrobe”.

  • Running foot

    A straight kitchen or a skirting run. Still keep a sheet count if you are ordering board.

  • Day

    Mason, carpenter, or helper when the work is not a clean area. Do not also hide those days inside a square-foot rate.

    Choose the unit before the rate. A square-foot rate typed into a “number” line will not survive a remeasure.

    The numbers on this page are examples, not a price list. Type the quantity, unit, and rate you actually charge in your city. Add GST only if this job is taxed.

Is an estimate format different from a quotation format?

The columns are the same. Call it an estimate when you are still pricing, and a quotation when you want the client to approve it. You can use one PDF for both moments.

Can I mix Hindi descriptions and English headings?

Yes. Headings follow the app language. Each line is free text.

What units should civil work use?

The unit you measure on site. Do not switch between square feet and square metres in the same estimate unless each line says which.
